Refund, Transfer, Withdrawals and Deferments

A student is entitled to refund any tuition fees paid if a request to drop enrollment from a course module or withdrawal from the program is made during the add/drop period on the published academic calendar. A student is not entitled to a tuition fee refund if the request to drop a course module was made after the published add/drop period unless an approved exception is made.

Students may only drop a course module with no notation of course module enrollment on their transcripts or financial penalty during the add/drop period. Not all fees paid by students are refundable. The following fees are non-refundable:

  • Application Fee
  • Late Payment Fee
  • Add/Drop Course Fee After Registration Period
  • Replacement of EagleCard Fee
  • Student Government Association Fee
  • Graduation Application Fee
  • Additional Diploma/Degree Scroll
  • Fee Protection Scheme (FPS)
 

Requests for Refund

Requests to drop enrollment from a course module or withdraw from a degree program must follow the process outlined in the Dropping a Course Module or Withdrawal from a Course Module sections.

If a refund is required:

  1. The Office of Student Services will send the Student Request and Refund Form.
  2. Students should state the reasons for the request.
  3. The refund request is initiated when the Student Request and Refund Form is returned to the Office of Student Services.
  4. The Office of Student Services may arrange a meeting with the student to understand the rationale of the request. This would be part of processing the student's request, and details would need to be documented on the Student Request and Refund Form.
  5. The Office of Student Services will inform how the refund amounts are computed.
  6. A member of ERAU Asia Institute's Management will review the request and, if approved, notify the Finance Department to refund the amount due in the original payment mode, i.e., credit card or bank transfer.
  7. When the refund has been processed, the Office of Student Services will provide the student with confirmation of refund processing and a credit note.
  8. For students below 18 years old, written consent must be obtained from a parent/legal guardian. Evidence of consent can either be a signature on the Student and Refund Request Form or emails/letters that will be needed.

Note: The maximum processing time, including informing students of the outcome of refunds and payments made to students, is seven working days.

Exceptions

Exceptions to the university's tuition and fees policy, as stated above, will be considered for extenuating circumstances as follows:

  1. A request for a late drop due to extenuating circumstances must be submitted within 60 days from the date the student completes a change of registration. The Office of Student Service will submit a copy of the request and any documentation, along with an Academic/Curriculum Waiver, to the Office of the Registrar – Worldwide.
  2. After careful review of the circumstances surrounding the late drop request, approval/denial is determined by the Office of the Registrar – Worldwide.
  3. If the late drop request is denied, an email from the Office of the Registrar – Worldwide will be sent to the Office of Student Services.
  4. If a late drop request is approved, the Office of Student Services will send the student the refund form, and the procedure above will be followed.

Additional Information for Students Enrolled at ERAU Asia Institute

Students enrolled at ERAU Asia Institute should refer to the student contract where reference is made to the following refund policies. 

Refund Policy

The maximum processing time from a student's request to drop enrollment from course modules or withdrawal (with refunds) from the program to the issuance of the qualified refund amount should not exceed seven working days. 

The following table appears in Schedule D of the student contract:

Refund for Withdrawal Due to Non-Delivery of Course

ERAU Asia Institute will inform the Student within three working days upon knowledge of any of the following:

  1. It does not commence the Course on the Course Commencement Date
  2. It terminates the Course before the Course Commencement Date
  3. It does not complete the Course by the Course Completion Date
  4. It terminates the Course before the Course Completion Date
  5. IT has not ensured that the Student meets the Course entry or matriculation as set by the organization stated in Schedule A of the Student Contract within the stipulated timeline set by the CPE
  6. The Student’s Pass application is rejected by the Immigration and Checkpoints Authority.

The Student should be informed in writing of alternative study arrangements (if any), and also be entitled to a refund of the entire Course Fees and Miscellaneous Fees already paid should the Student decide to withdraw, within seven working days of the above notice.

Refund for Course Module Drop or Withdrawal From the Program Due to Other Reasons

If the student drops enrollment in a course module or withdraws from the program for any reason other than those stated in Clause 2.1 of the student contract, ERAU Asia Institute will, within seven working days of receiving the student's written request, refund to the student an amount based on the table in Schedule D.

Refund During the Cooling-Off Period

ERAU Asia Institute will provide the student with a cooling-off period of seven working days after the date that both parties have signed the contract. The student will be refunded the highest percentage (stated in Schedule D) of the fees already paid if the student submits a written notice to drop enrollment from course module(s) or withdraw from the program to the PEI within the cooling-off period, regardless of whether the student has started the program or not.

Course/Degree Program Transfer, Withdrawal and Deferment Policy

The maximum processing time from the time students request for any transfer, withdrawal, and deferment to notifying students of the outcome in writing should not exceed four weeks.

Please note the following ERAU Asia Institute’s definition for course/degree program transfer, withdrawal and deferment:

  • Course/degree program transfer: Student changes the course or period of study (from full-time to part-time or vice versa) but remains as a student of ERAU Asia Institute.
  • Course/degree program withdrawal: Student discontinues all courses with the PEI.
  • Deferment: Student delays or postpones the course (or modules).

Conditions for Granting Course/Degree Program Transfer

  • All outstanding fees must be settled before approval of the request.
  • Students must fulfill the admission criteria of the new course/degree program and may be subjected to additional student selection and admission procedures.
  • ERAU Asia Institute will inform ICA of the cancellation of the student pass (for student pass holders) for students who have withdrawn from the ERAU Asia Institute.

Conditions for Granting Course/Degree Program Deferment

  • Deferment is subject to the availability of course/degree programs and course module offerings. ERAU Asia Institute reserves the right to offer similar courses/degree programs and course modules to replace discontinued course/degree programs or modules.
  • The maximum period of deferment allowed will be 12 months (i.e., the Student will need to commence the course/degree program within this maximum period). Requests for an extension can be considered on a case-by-case basis.
  • Students must note that they must apply for a new Student’s Pass when re-joining the Institute, which is subject to ICA’s approval.

The Office of Student Services will ensure that ICA is informed of any changes to the status of all student pass holders. This would include the following policy guidelines: 

  • Course/degree program transfer: ICA will be informed of the new Student’s Pass application.
  • Course/degree program withdrawal and deferment: ICA will be informed of the cancellation of the Student’s Pass.

A new student contract and/or a student contract addendum must be signed when a course/degree program transfer or deferment has been approved. For any course/degree program transfers, withdrawals or deferment, ERAU Asia Institute would need to obtain the student’s parent/legal guardian’s written consent if they are under 18 years of age.
